76X-78X Linking Entries

Linking Entry Fields–General Information
Linking entry fields provide a machine link among related records in a file. Examples of related records include preceding titles, succeeding titles, reproductions, other editions, supplements, translations, etc. Machine links allow a user to search a title and to retrieve records for that title and for related records.
Linking entry fields also provide a bibliographic note that is generated from the linking field. This feature eliminates the necessity of rekeying the title in a note; for example,
780 00 $t Journal of nursing education $x 0022-3158
displays as:
Continues: Journal of nursing education.
Linking entry fields may be used to provide notes and computer access for related titles for which there is no record online (e.g., a 780 field may be given for the earlier title when the title is known, even though there is no record on the database).
Background
1. Relationships represented by linking entry fields. Linking entry fields include the following relationships:
760 Main series entry
762 Subseries entry
765 Original language entry
767 Translation entry
770 Supplement/special issue entry
772 Supplement parent entry
773 Host item entry
774 Constituent unit entry
775 Other edition available entry
(Same field used on all related records)
776 Additional physical form entry
(Same field used on all related records)
777 Issued with entry
(Same field used on all related records)
780 Preceding entry
785 Succeeding entry
787 Nonspecific relationship entry
(Same field used on all related records)
In most cases, linking entries are made from one record to its related record, and the related record is linked to the first record. In the example given below, the Annual law review is succeeded by the University of Western Australia law review. That continuation is noted in the 785 linking field of the record for the Annual law review. Likewise, the University of Western Australia law review is preceded by the Annual law review, and that continuation is noted in the 780 linking field of the latter record.

780 00 $t Annual law review $w (OCoLC)4965421 $w (DLC)sf 84001087
2. Displaying notes from linking entry fields and 5XX fields. There are several options for displaying text or notes associated with the 765-787 linking entry fields. The 765-787 field can be used without an accompanying 580 field whenever the display constant associated with the field accurately defines the relationship between the publications. Set the first indicator of the linking field to value "0" and the second indicator (the display constant controller) to appropriate display constant code to print the bibliographic note with the display constant.
780 00 $t American journal of religious psychology and education $w (DLC)sf 84007109
When the display constant does not adequately define the relationship, subfield "$i" in all linking fields except 780 and 785 can be used to display text with the other data in the linking field. Set the first indicator value to 0 to generate the note from the linking field and the second indicator value 8 to suppress the display constant.
787 08 $i Included in updating electronic version: $t Amphibian species of the world $w (OCoLC)43381563
772 08 $i Vol. 3- issued as a supplement to: $t Oregon law review $w (OCoLC)1761423
When the display constant does not adequately define the relationship, or when subfield $i cannot be used, record a note in a 530 or 580 field. Subfield $i cannot be used with the 780 and 785 fields because second indicator value "8" cannot be used in these fields. When a note is desired for these fields, the 580 field must be used. A 580 or 530 note for other linking fields should be used when the linking relationship applies to multiple titles or links, or where it is more practical to use a 5XX note to explain complex relationships. In these cases, input the 765-787 field to provide the machine linkage, set the first indicator to value "1" to suppress the printing of a note from the linking field, and set the second indicator to blank.

When a serial record has multiple linking relationships to a single record, the multiple relationships are described in a 580 note and only one linking entry field is input to represent the primary relationship. Set field 7XX first indicator to value "1" to suppress the printing of the note.

Further instructions for the setting of the first indicator are provided with the specific linking entry fields.
3. Added entries. When an added entry is needed for a title used in a linking field, input the added entry in the appropriate 7XX field (700-730). Linking fields do not take the place of added entries because linking fields do not generate tracings. Likewise, an added entry in field 700-730 does not take the place of a linking field, because the added entry field does not generate a note.

4. Links between resources. According to PCC policy, linking entry fields are made between records for continuing resources and monograph resources (see CEG B7). Unlike links made among serials and monographs, linking to integrating resources requires additional maintenance because the title or entry can change over time.
Monographs.
Prior to 1999, when a serial was related to a monograph, the title of the related record was included in a 580 note. No linking entry (field 765-787) was provided for the monographic title, but an added entry (field 700-730) was sometimes given. Linking entry fields are now used to show these relationships.

Editing instructions
1. Punctuation. Punctuation may be generated on output by a user's display program and should not be input except where indicated below. Apply the following guidelines:
a. Input a period following subfield $a, $s and $t (when followed by $b).
b. Do not input a period at the end of any other subfield. (Exception: LAC inputs a period at the end of subfield $t. Participants using LAC records should not remove the period.)
c. Do not input a comma preceding subfield $x (ISSN) or subfield $g (Relationship information).

2. Spacing. A CONSER participant may leave one space after a period that separates distinct elements of a name or title used in a linking field, if the participant's local system will allow this. Some ILS systems may require that two spaces be used.
3. Subfielding. Do not add delimiters and subfield codes to individual components of the name in subfield $a or the title in subfield $t.

Form of entry
When linking to an existing AACR2 record for a related publication, use the form of entry as found on that record.
However, when using a name-title entry in a link from a pre-AACR2 record, change the form of the name, but not the choice of entry, to AACR2 form. Change also the form of name in the main entry heading on the related record.
When linking to a pre-AACR2 record that is distinguished from other records of the same title by an edition statement, include in the linking entry field the edition statement. (Under AACR2, a serial issued in multiple editions is linked to a related title by a uniform title.)
When no record exists for a related publication, construct a link based on AACR2 choice and form of entry.
For instructions on linking to latest entry records, see instructions for subfield $w.

$m Material specific details.
Subfield $m contains material specific information (e.g., for maps, the mathematical data information relating to the related item).
$n Note.
Subfield $n contains a note about the related bibliographic item.
$o Other item identifier.

Subfield $v contains a brief statement identifying the information contributed by a source to a data set. It is used primarily with linking field 786 (Data Source Entry).
Subfields $w, $x, $y, and $z
Subfields $w, $x, $y, and $z include standard numbers associated with the resource title or its online record. Subfields $w and $x are critical for searching and retrieval. When linking to an existing record, supply all pertinent record control numbers in order to best serve users of any system that is capable of utilizing linking entry field control numbers to construct hard links. The more linking numbers a record contains, the greater the probability that a computer system would be able to find matching records in a local database and create links.
$w Record control number.
This subfield is used to include a control number in the linking field. Subfield $w may be used in any linking entry field and is repeatable. The control numbers are taken from the following fields of the related record: 001, 010, or 016. The control number should always be preceded by the MARC code of the library or system to which the control number applies. The MARC code must be enclosed in parentheses.
Record control numbers are given only when the related record appears on OCLC. More than one control number may be given, but only the LCCN and OCLC control number are required. (Exception: record control numbers are not input when the linking entry is made for a print title which preceded a later online version. See example in CCM 31.20.4.) If the related record is authenticated, the LCCN (field 010, NUC symbol DLC) must be given. The OCLC control number (field 001, NUC symbol OCoLC) is always given since links are now clickable on OCLC. The Canadiana control number (field 016, NUC symbol CaOONL) may be given but is not mandatory. When more than one control number is given in a link, the order is not prescribed.
Per recommendation from the final report submitted by the PCC Standing Committee on Automation, Task Group on Linking Entries, "Final Report" (http://www.loc.gov/catdir/pcc/archive/tglnkentr-rpt05.pdf) catalogers should record multiple linking entry numbers in linking entry fields, when known, in order to facilitate the goal of true hyperlinking. Record control numbers are given only when the related record appears on OCLC. (Exception: record control numbers are not input when the linking entry is made for a print title that preceded a later online version. See example in CCM 31.20.4.) If the related record is authenticated, the LCCN (field 010, MARC code DLC) must be given. The OCLC control number (field 001, MARC code OCoLC) is always given since OCLC control numbers in the Connexion browser are "hot linked" to retrieve related records. The Canadiana control number (field 016, MARC code CaOONL) may also given. When more than one control number is given in a link, the order is not prescribed. (Note: When OCLC runs a macro to check the structure of elements in 760-787 subfield $w's, as part of this quality control check, the (DLC) $w is placed before the (OCoLC) $w.)
1. Instructions for inputting the LCCN (from field 010 of related record).
The LCCN in subfield $w of a linking entry field corresponds to that in field 010 subfield $a of the related record; but the form input in subfield $w is not the one used in OCLC field 010. Instead, it is, approximately, the machine-readable form of the LCCN. Accordingly, there are differences in how the post-2000 and pre-2001 formats of LCCN are recorded in subfield $w. (See CEG 010 for guidelines on OCLC field 010. See Appendix P for information on formats of the machine-readable LCCN.)
Post-2000 LCCN format:
a) Always input the MARC code "DLC" enclosed within parentheses.
b) Input two leading blank spaces between the symbol "(DLC)" and the year information if the LCCN has no prefix. If the LCCN has a two-character prefix, input no blank spaces between the prefix and the year numbers.
c) Input the four-digit year information.
d) Do not input a hyphen.

b) If each related title has the same common title, give the common title in the linking field. Use the mark of omission for the section title. Add the LC control number (or the OCLC control if there is no LC number) of each related title in separate subfields $w.
